There are still monograph items in our collection for which we have never added NBD holdings. Holdings for these could not be retrospectively uploaded to ABN in the early 90s due to having no record number in 001 or ISBN 020 fields (note also, they all have CAT DATE = 21-03-1994)

Where we are adding new items it would be good to have holdings on LA.
Please use the following procedure if you are adding an additional copy to such a record and go into LA search and add holdings to the individual record if available.
e.g. if you were adding an item to the record above, note that it is:
CAT DATE = 21-03-1994
No 001 ; AND, no 020
In MilCat
Check via remote for record to find correct edition
Where more than one record, choose the best record as per normal rules
If the LA record is very low quality the Millennium old record may just need updating
As a minimum update, just add the 001 from LA (with leading zeros), add country code in fixed fields, and amend LEADER if needed (change highlighted invalid code b to a)
Otherwise, use the ‘Overlay’ command to update the old record
Protected fields are: CAT DATE, 035, 092, 59X, 6XX ind1=8 or 9, existing URL, and 902. You wont need to worry about these being lost in the overlay. Check any details that may need updating as per normal cataloguing.
TIP: If there are other fields you need to protect (such as summary) you can protect them by changing the field to 590 then back to 520 after overlay so it doesn’t need to be copied and pasted.
Verify name headings if any differ from the old record
In LA
Log in with the cataloguing login
Paste the 001 number from the record (without leading zeros) into the Search box (don’t need ‘advanced search’) and click search.
This should result in a direct hit on the record you ‘remoted’ to MilCat.
Click ‘Edit Holdings’ button
In ‘Call no.’ box just add held
In ‘Local system number’ box add Millennium record number (including the ‘dot’) e.g., . b10193649
Click ‘ <<>> ’ and when the screen refreshes with the message ‘OK’ click ‘ ’
If not in LA pass to librarians for original cataloguing - update bib in Millennium. Librarians give Ross the old bib numbers for inclusion in LA weekly FTP. For Original records leave OLD cat date if giving .b nos. to Ross (email from Ross 19/5/08)
