Indigenous Affairs Dept Library cataloguing

The material has been pre-checked in Millennium and should be either new material in Millennium or dups that have been selected for add copies (have printout in them)They have been put on the bay next to the “V” material as they also require a NOTE code – please add code ‘b’ in item fixed field NOTE

If original cataloguing is required please place a slip in the book so that cat librarians know that it is IAP for code ‘b’ (as for Grants ‘v’)

PREVIOUS PROCEDURE:
Check INNOPAC (Already done)

a. Mono - Add copy (held in the Murdoch Campus collections)

Note locations/number of copies and place on IAD DUPLICATES shelf (to be returned to basement)

b. Serial – note bib no. and location and place on IAD SERIALS shelf

Later, the Serials Section will identify new or dup issues (new issues to go to basement for sorting)

c. New title (or only copy at Rockingham/SBY/WCL and not a Murdoch item) - check Kinetica

Check Libraries Australia

Serial record found – Print record (or write LA AN/or ISSN), place on IAD SERIALS shelf

(new titles will be sent to the basement for sorting)

Mono - add holdings, etc. (code item fixed field NOTE ‘b’)

No copy found, place on ‘original priority’ shelf (with note sayiong add "b" note)

(NB, if close copy on INNOPAC/LA include printout with the book or generate a clone as a brief bib)

Explanation:

· ADD copies: do not add duplicates unless the only copy is at RRCCL-TAFE or City/SBY/WCL – ie, things we haven’t downloaded from Kinetica:

Place book on IAD Duplicates shelf (next to ‘Gov Pubs’) and include on a slip of paper or printout the number of copies and location of copies.

· SERIALS: Although major runs of serials have been excluded when unpacking downstairs, if an item is suspected to be part of a serial:

DO NOT download - print Kinetica or remote version of serial record.

Place on IAD Serial shelf.

· Annual reports: Place on IAD Serial shelf without further checking of INNOPAC/Kinetica

· Be suspicious of reports with dates that may suggest seriality

eg, Directory of financial assistance … 1994/5

Government financial results report … 2002-03

Report on grant relativities 1996 update

Check these in INNOPAC/Kinetica for the possible serial title (without dates) and if serial found place on IAD Serial shelf – if only mono record found, treat as mono.

I anticipate that there may also be many government committee reports that can be treated as serials - think laterally for these…

eg, if you get a “Second report of the New South Wales Legislative Assembly Select Committee upon Aborigines” check under the name of the committee to see if there is a serial record ‘Reports…’. (Check these works also under the possible series titles, eg, Report of the New South Wales… or Report of the Standing Committee upon Aborigines) Treat as a possible serial and place on the IAD Serial shelf. If no serial record found but an individual report record is found, add as a mono, eg, an 2049463 is the best of several records for this ‘second report…’ (in this example no serial record was found for the collected reports)

· ABS publications: we don’t catalogue these so place on ‘IAD Serials’ shelf

· Parliamentary papers: Individual ones about indigenous affairs can be catalogued as monos even though we may have them incorporated in our ‘Parliamentary papers’ serial holdings

· Budget papers – often these have a serial record and the individual parts have their own titles – messy to handle – query and place with printout on IAD Serials shelf

The Serials Section will follow up items placed on the IAD Serials shelf, decide if new or duplicate issues or new titles, return to a serials holding shelf in the basement to sort into titles. They need to remain there until all boxes have been worked through and then decision on whether to catalogue as backruns, etc can be made.
